Temporary Operations Assistant

Specific Duties And Responsibilities
Mail management- arranges for post box pick-ups; sorts and distributes incoming mail; arranges for outgoing mail, including courier services.
Ensure utility bills (water, Electricity, Courier) are obtained in good time for prompt payment processing.
Manage and coordinate the duties of the Offices support staff and keep a log of their services for payment processing.
Support in coordinating logistics for the APHIAplus projects, by ensuring vehicles are ready and in good condition to facilitate staffs and visitors travelling on PATH business.
Ensure all equipment i.e. air conditioning units, printers, water dispensers, photocopy machines are in good condition and any malfunctions have been reported for action.
Preparation of hired transport matrices, compilation of G4S waybills and reconciliation with invoices for payment processing.
Organize and coordinate logistics for project meetings and workshops.
Co-ordinate and maintain records of staff and their telephone contacts.
Handle all Operations related inquiries within capacity.
Make Hotel accommodation bookings for staffs and visitors.
Make flight booking logistics and airport ground transfers.
Manage and coordinate duties of the Project drivers.
Maintain office supply inventories.
Required Skills
Required Experience
At least a Diploma in Business Administration or a related field. A degree in Business Administration would be an added advantage.
Minimum 3 years in a similar role preferably in an NGO.
An effective communicator.
Experience and ability to coordinate a team and work within a team.
Ability to Multitask.
Good at problem solving, fast thinker.
Has good decision making skills.
Organized and a good time manager.
