Purpose of the Job: We are looking for a pleasant Receptionist to undertake all receptionist and clerical duties at the desk of our main office.
The receptionist will be the “face” of the company for all visitors and will be responsible for the first impression we make. As a receptionist you will be the first point of contact for the company and you will provide administrative support across the organization.
You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.
The ideal candidate will have a friendly and easy going personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential.
The goal is to make guests and visitors feel comfortable and valued while on our premises.
Key duties and responsibilities
Serve visitors by greeting, welcoming, directing and announcing them appropriately
Answer, screen and forward any incoming phone calls to appropriate parties while providing basic information when needed
Receive and sort daily mail/deliveries/couriers. Sign for all incoming packages; arrange pick up for out-going packages
Maintain security by following procedures and controlling access (monitor access control, issue visitor badges)
Update appointment calendars and schedule meetings/appointments
Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
Qualifications
At least a Diploma in Business / Office Administration / Public Relations / Customer Service.
At least 2 years’ experience in the same role (Receptionist) or Customer Service
Presentable and mature lady (preferably 25-30)
Skills and Competencies Knowledge of administrative and clerical procedures
