The Role
Reporting to the Director, Programs (Strategic Planning) and as part of the Program Office, your core responsibilities include but are not limited to the following:
Directly support/work with Director, Programs (Strategic Planning) in managing programmatic and leadership responsibilities through program design, project management, research and team coordination.
Play a lead role in the project management of the Annual Planning process, with guidance from the Director, Programs (Strategic Planning).
Collaborate with the Director, Programs (Strategic Planning), Program Managers (Regional teams and LME), and the Program Leadership Team to produce high-quality first drafts of materials for Strategy Review and Annual Planning. Prepare write-ups, reports, briefs and other communication materials of our internal and external workstreams. Lead on efficient and effective dissemination of these materials internally and externally.
Produce strong first drafts of programmatic related guidance and operational materials to facilitate effective Program team functioning.
Play a critical role in the development and effective operation of portfolio investment, financial, and programmatically related operational processes, including budget management and forecasting, and team “rhythm of business” (ROB). Responsible for effective information sharing across the organization in these key areas of operations, and for the continuous improvement of these processes.
Support Director, Programs (Strategic Planning) in the consultation of Program team leadership to promote continued enhancement of the impact of grantmaking and resource utilization, and to ensure optimal learning, decision making, and collaboration across team.
Promote prioritization, efficiency, simplicity and productivity on the team by providing support in programmatic process development and continuous improvement. Produce strong analysis on problem and solution identification, trade-offs and other considerations to support the design, implementation and improvement of tools, reporting, processes and other aspects of team/organizational set-up.
Maintain understanding of and alignment with Co-Impact cross-organizational initiatives. Actively facilitate the integration of program team members and processes with broader Co-Impact context to increase impact. Responsible for liaising, and fostering transparency and clarity, between Program team and other colleagues – including Operations and Partnerships — regarding business processes, financial reporting, forecasting, and related systems, and tools required for business and operational success.
Lead coordination and engagement with coordinator counterparts (cross-CI and regions) to propose and implement solutions to address business operations issues and ongoing strategic alignment on shared work.
As needed, design, contribute to and/or lead special projects in support of team operations and/or in support of programmatic investments and portfolios.
Contribute towards the cultivation of diverse, equitable and inclusive practices to create a work environment where everyone can do their best work in contributing towards our impact. In partnership with Executive Office and organizational culture group(s), ensure inclusive and gender intentional considerations and practices are integrated into ongoing team practices and rhythm of the business.
Required Qualifications, Skills and Experience
Bachelor’s degree in business administration, finance, or related field. Master’s degree in Business Administration (MBA) preferred.
At least 5 years professional experience in strategy or management consulting / strategy planning or a similar role / sector to consulting, with experience in the social impact / philanthropy sector strongly preferred.
Experience working with executives and team leads.
Sophisticated project management skills, particularly for strategy development, execution planning, and business process redesign projects, and a successful track record of running multiple projects simultaneously.
Demonstrate a passion for tackling complex challenges and collaboratively developing innovative solutions with the potential for significant impact.
Strong consultative and advisory skills. Proven excellence in influence and leadership, ability to build trust, be a team leader and player who motivates and educates other team members and understands the value of interpersonal relationship building.
Technically proficient and creative; successful in both collaboration and as an independent problem solver.
Ability to prioritize, focus and achieve results in a fluid, fast paced and sophisticated environment.
Financial literacy (budget development, financial analysis).
Ability to build structures and develop frameworks to increase clarity and visibility of decisions, trade-offs and impact on financial and organizational resources.
Excellent written and verbal communications skills (in English) with the ability to effectively synthesize information to reach a diverse audience.
Proficient in Microsoft Office (Excel, Word, PowerPoint) and familiar with data visualization tools (e.g., Tableau, Power BI).
