Supply Chain Coordinator

The Supply Chain Coordinator will manage and centralize all procurement processes at the Pharo Foundation Kenya Country Office to provide outstanding support to the country’s programs. The role will include serving the operational needs of the Pharo Schools Kenya.

Using best procurement management practices, the role holder will ensure compliance, transparency, and cost-efficiency while maintaining effective logistics and warehousing systems. The position will also oversee larger supplier contracts and relationships within the country to improve visibility, control, and accountability in procurement and logistics processes.

Reporting to: Country Director

Direct Reports: Procurement Officer in Pharo Schools Kenya

Functional Relationships: Finance, Education, and Administration/Operations Departments in the Country Office and Pharo Schools Kenya, other Procurement team members in other Pharo Foundation country offices.

Key Responsibilities

Procurement Management (80%)

Lead the country’s procurement team in the transparent and auditable management of all procurement functions in line with Pharo Foundation’s policies and procedures.
Ensure that procurement plans are developed, submitted, and compliant with the Foundation’s internal processes and budget limits.
Vendor management: Develop and maintain a network of suppliers for all critical supplies required for the operation of Pharo Foundation and Pharo Schools Kenya.
Prepare detailed cost analysis reports covering all supply chain activities, including incoming shipments, storage, and distribution.
Manage tender processes to ensure effectiveness, transparency, accountability, and purchase of goods and services at the best market prices.
Coordinate regular market assessments to maintain accurate knowledge of market prices for common goods and services.
Establish and maintain a supplier database and implement cost-effective and transparent bid collection practices.
Manage relationships with key suppliers and ensure all contracts meet Pharo Foundation’s operational standards.
Oversee procurement tracking systems, including the preparation of tracking reports and monthly status updates.
Ensure timely completion of purchases/procurements and regular submission of procurement committee minutes.
Design and manage all contracts for goods and services in collaboration with the Finance Department.
Manage and maintain in-house procurement monitoring tools for strategic decision-making.
Review and prepare Purchase Orders and supporting documentation for approval by authorized personnel.

Logistics and Warehousing (20%)

Manage and monitor inventory levels, ensuring timely restocking and accurate record-keeping.
Manage third parties to deliver national and international shipments with an end-to-end approach, including customs clearance, transportation, logistics and warehousing.
Oversee logistics to ensure efficient delivery of goods adhering to timelines and quality standards.
Support the country office and the school in implementing robust inventory systems to enhance visibility and control.
Coordinate with the relevant teams to ensure seamless integration of procurement and logistics functions.

Minimum Requirements

Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a related field. A master’s degree is an added advantage.
Membership with the Kenya Institute of Supplies Management (KISM) or equivalent professional body and in good standing.
Minimum of 5 years’ experience in procurement and logistics management within a fast-paced organisation.
Proven experience managing large suppliers and contracts, with a track record of cost savings and operational efficiencies.
Strong background in inventory/asset management, logistics coordination, and supplier negotiations.
Experience in using a procurement system and or Enterprise Resource Planning (ERP) systems is desirable.
Strong analytical skills for cost analysis and market research.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
