Position Overview:
Angled North is looking for an exceptional Executive Assistant to serve as a key partner to the Managing Director (MD) by taking ownership of administrative, operational, and strategic tasks on behalf of the Managing Director. This role is ideal for a dynamic professional who thrives in a multi-faceted environment, capable of managing everything from inboxes and calendars, data administration and team coordination to HR and procurement.
The Executive Assistant will be responsible for supporting the MD in day-to-day operations, managing their inbox, calendar and critical projects. This will include coordinating teams, streamlining business processes and driving organizational efficiency. The ideal candidate is highly organized, proactive, and adept at managing multiple priorities while maintaining a high level of discretion and professionalism.
Key Performance Objectives (KPOs):
Calendar and Inbox Management
Objective: Optimize the MD’s daily schedule and communication flow to enhance productivity and focus on strategic priorities.
Success Indicators:
Effectively manage the MD’s inbox by categorizing, prioritizing, and responding to emails where appropriate, achieving a 24-hour response time for high-priority items.
Coordinate and maintain the MD’s calendar, ensuring efficient scheduling and conflict-free appointments.
Conduct daily check-ins with the MD to align on priorities and upcoming commitments.
Organize logistics, materials, and agendas for internal and external meetings, ensuring 100% preparedness.
Data Management and Operational Support
Objective: Ensure seamless management of data and digital tools to support efficient decision-making and operations.
Success Indicators:
Maintain accurate and up-to-date data across digital platforms such as Octoparse, Cognito Forms, and Google Drive among others
Implement a structured system for data organization and retrieval with 95% accuracy.
Compile actionable insights from data tools, ChatGPT and more to assist with strategic decisions.
Team Coordination and HR Management
Objective: Oversee internal team operations, ensuring alignment with organizational goals.
Success Indicators:
Oversee the hiring and onboarding process to attract top talent and ensure seamless integration of new hires.
Coordinate quarterly employee appraisals, ensuring 100% participation and actionable feedback.
Manage KPIs for all team members, with 90% achievement rates across roles.
Project Management
Objective: Lead and optimize current systems and processes to improve project execution.
Success Indicators:
Oversee active projects, ensuring at least 90% adherence to timelines and budgets.
Identify and implement at least three process improvements annually.
Prepare and deliver monthly and quarterly budget reviews with actionable recommendations.
Lead implementation of Zoho ERP across all company functions.
Vendor Management
Objective: Ensure efficient procurement and strategic vendor/consultant relationships.
Success Indicators:
Effectively manage consultants and ensure 100% contract compliance and timely deliverables.
Streamline procurement processes, reducing turnaround time for vendor approvals by 15%.
Strategic Partnerships
Objective: Build and maintain partnerships with key stakeholders to drive organizational growth.
Success Indicators:
Establish partnerships based on key priorities, achieving at least 90% each quarter.
Develop and maintain a partnership tracker, ensuring up-to-date records for all stakeholders.
Research & Legal Support
Objective: Enhance Angled North’s visibility and provide actionable insights through research.
Success Indicators:
Conduct thorough research and compile reports to support business initiatives, delivering findings on time.
Review agreements, communications and contracts to ensure compliance
Qualifications and Competencies:
Education & Experience:
Bachelor’s degree in Business Administration, Human Resources, Communications, or a related field.
Proven ability to manage data across multiple platforms and tools.
Proficiency in digital tools such as Octoparse, Cognito Forms, Google Workspace, and project management platforms (e.g., Asana, Trello).
Strong organizational and project management skills with a keen eye for detail.
Excellent interpersonal and communication skills, both verbal and written.
High level of discretion and professionalism in handling sensitive information.
Ability to manage multiple priorities and deliver results in a fast-paced environment.
