KEY RESPONSIBILITIES
Support all internal and external HR related inquiries or requests while following relevant approval matrix
Maintain hard copy and electronic records of employees.
Assist with the recruitment process by identifying candidates, performing reference checks and issuing employment contracts issuing offer letters, employment contracts and job description.
Assist the completion of compensation and benefit documentation.
Assist with performance management procedures while following the relevant approval matrix.
Assist the HR manager to schedule meetings, interviews, HR events and maintain agendas.
Assist the HR manager to coordinate training sessions and seminars.
Perform orientations and update records of new staff.
Produce and submit reports on general HR activity.
Ensuring legal and statutory compliances are done on behalf of the HR manager.
Process payroll inputs, report and resolve any payroll errors.
Complete termination paperwork and exit interviews following relevant approval matrix.
Keep up to date with the latest HR trends and best practice.
Assist the HR manager in Employee recruitment of junior’s positions– liaising with agencies, shortlisting, scheduling interviews.
Assisting in preparing and reviewing HR and related policies.
Ensuring new staff data has been documented statutory documents have, all recommendation letters are verified etc.
Scheduling for duty rotation.
Updating staff data both in the files and computer
Managing time and attendance of the staff to 100% accuracy.
Managing staff leave by ensuring all leaves are accompanied by required documentation and handover are done.
Assist in managing staff discipline and conflicts.
Assist in arranging and following up on staff training as well applying for NITA reimbursements where applicable.
Ensuring employees welfare and update any records on the same.
Promoting health and safety of employees; updating workplace health and safety register.
Provide support to the administrator and assume responsibilities as needed during their absence.
Assist with administrative duties, such as issuing stationery, issuing staff PPE’s and provide support by relieving administrative staff when necessary.
Any other relevant duties that may be assigned from time to time.
SKILLS & QUALIFICATIONS
Bachelor’s degree in Human Resource Management.
IHRM membership.
At least 2 years of experience as a HR Assistant.
Exposure to Labor Law and employment regulations.
Effective HR administration and people management skills.
Exposure to payroll practices.
Full understanding of HR functions and best practices.
Excellent written and verbal communication skills.
Fantastic organizational and time management skills.
Strong decision-making and problem-solving skills.
