Project Coordinator

Takataka Solutions Limited is seeking a highly organized and motivated Project Coordinator to join our Partnership Department. The Project Coordinator  will play a key role in coordinating various funded projects, ensuring effective project implementation, compliance with donor requirements, and timely delivery of reports. He/ She will supervise the Project Team and work closely with the Head of Partnership to support project report writing, reporting processes, and financial oversight of projects.

Key Responsibilities

Supervision: Oversee and provide guidance to Project Assistants to ensure smooth project execution, meeting deadlines, and maintaining project documentation.
Project Coordination: Ensure timely and successful implementation of assigned projects in line with donor requirements and organizational goals.
Reporting: Prepare, review, and submit high-quality donor reports, ensuring accuracy, consistency, and timely delivery.
Project Writing: Assist in drafting and reviewing project proposals, ensuring alignment with donor guidelines and organizational strategies.
Stakeholder Engagement: Collaborate with internal and external stakeholders, including donors, to ensure proper communication and alignment on project objectives.
Budget and Financial Management:

Work closely with the finance department to monitor and manage project budgets, ensuring that funds are allocated appropriately and that spending is in line with donor agreements.
Assist in the preparation of financial reports and ensure that they are submitted alongside donor narrative reports.
Ensure that all financial transactions related to projects are accurately recorded and supported by appropriate documentation.
Liaise with the finance team to track project expenditures and forecast future financial needs.

Compliance: Ensure projects comply with donor requirements, legal regulations, and internal policies.
Monitoring & Evaluation: Track project progress, gather data for reporting, and assist in evaluating project outcomes.
Documentation: Maintain detailed records of all project activities, including agreements, reports, financial records, and evaluations.
Risk Management: Identify potential project risks (financial, operational, or strategic) and work with relevant departments to mitigate them.

Qualifications and Skills

Education: Bachelor’s degree in Project Management, International Relations, Development Studies, Finance, or a related field.
Experience: At least Three (3) years of experience in project management, with a focus on donor-funded projects, financial oversight, and report writing.
Supervisory Skills: Proven ability to manage and supervise teams, particularly in a project-focused environment.
Financial Acumen: Strong understanding of budget management, financial reporting, and donor financial guidelines.
Communication: Strong written and verbal communication skills, with experience in writing reports and project proposals.
Attention to Detail: Exceptional organizational skills and attention to detail, especially in managing deadlines and documentation.
Problem-solving: Ability to handle complex project challenges and work towards innovative solutions.
Software Proficiency: Competency in Microsoft Office Suite (Word, Excel, PowerPoint), project management tools, and familiarity with donor reporting platforms.
Teamwork: Ability to work effectively both independently and as part of a team.

Additional Requirements

Willingness to travel for project-related work as required.
Flexibility to manage multiple projects and meet competing deadlines.
