Dispatch Clerk

Key Roles And Responsibilities
Collecting and Packing Jobs

Ensure all jobs are collected from the picking area.
Pack jobs appropriately for dispatch with a high level of accuracy to avoid mix-ups

Scanning and Documentation

Scan each job out on the Hercules system.
Attach relevant documents to each scanned job.

Verification and Approval

Ensure each job has relevant documents, signed and stamped, before handing them to riders.
Verify all jobs with the security guard before dispatch.
Ensure jobs dispatched with delivery notes have the necessary approvals.
Update the delivery note tracker with the same approvals.

Coordination with Customer Service

Follow up with the invoicing Clerk in charge to ensure the order is processed and invoiced.
Attach the invoice to the delivery note (DN).

Route Assignment

Assign riders their routes appropriately in liaison with the supervisor.

Delivery

Ensure jobs are delivered to the correct client at the right location.
Reporting and Clarity:
Report all issues arising within the dispatch area to the supervisor.
Seek clarity from the supervisor when necessary.

Additional Duties

Perform any other duties that your superior may assign from time to time.

Qualifications

High school diploma or equivalent.
Previous experience in a dispatch or logistics role preferred.
Strong organizational skills with attention to detail.
Ability to work independently and as part of a team.
Proficient in using dispatch and inventory software (e.g., Hercules system).
Excellent communication skills.
Ability to handle multiple tasks and meet deadlines
