Your day-to-day responsibilities will include:
Ensure payments are made to suppliers consistently, accurately and within credit terms. Verify invoices against contract terms and other agreements
Review transactions for completeness and accuracy including proper authorization for payment processing.
Prepare payment vouchers.
Set up, monitor and perform reconciliations and accruals on a monthly basis for major suppliers paid by standard voucher
Support the monthly accounting closing process to ensure accurate and timely financials.
Review accounting controls and processes, suggest improvements and help implement and support any changes.
Ensure all corporate and normal business and ethical standards are closely adhered to and correct any deviations
Encountered and ensure appropriate controls are administered.
Ensure that all documentation relating to payments are in accordance with all regulations and maintain a very high level of vigilance
Answer supplier queries on invoices & payments
Verify vendor accounts by reconciling monthly statements and related transactions.
Reconcile Accounts Payable on a monthly basis (including Down payment Requests)
Maintain the vendor/supplier files and monitor the accounts to ensure payments are up to date.
Prepare and Process tax and statutory cheques/payments timely to avoid penalties
Prepare and disburse accounts payable cheques
Perform reconciliation of balance sheets accounts
Strong involvement in the physical receipt of deliveries by suppliers before being transferred to the store
Participate actively during stock taking
Filing of supplier invoices and vouchers and answering all queries relating to payables activity
Liaison with Credit control colleagues on cheque swap
Review supplier payments periodically to note any changes in pricing, query the same to ensure any variances in costs for same items, quantities and liaise with procurement to verify the same prior to payment confirming reason to the variances
Assist in the accounts receivables analysis and modeling
Participate in the interim/year end and the internal audit processes
Maintain fixed assets register, process additions and disposals in the system to ensure the GL and the fixed assets register are reconciled monthly and variances adequately explained to the FM.Recommend Assets for writeoff.
Participate in fixed asset tagging and bi-annual fixed asset verification exercise, including P&M and EFR. Allocate tag numbers to fixed assets to effectively track them from time to time
Record fixed assets by creating and supervising a system of procedures, forms, and controls
Recommend any updates to accounting policies affecting fixed assets to management
Participate and being in constant liaison with the managers on capex requirements
Agree the inter-company balances with the group entities.
Record in the accounting system newly acquired fixed assets and those disposed
Track, compile, and record project costs in fixed asset accounts; close out the accounts at the completion of the projects
Perform reconciliation of fixed asset subsidiary ledger balance with summary-level account in the general ledger
Perform depreciation calculation for all fixed assets
Perform revision and update on the detailed schedule of accumulated depreciation and fixed assets
Find out fixed assets’ obsolescence potential and recommend for writeoff
Carry out periodic reviews on intangible assets’ impairment
As may be requested by management, perform fixed asset related analyses
Track Company’s fixed asset spending in relation to its capital budget, as well as management authorizations
Ensure consolidation of fixed asset information to enable a complete and accurate record of the identification, location and value of RI East Africa fixed assets.
Carry out the revaluation of fixed assets as required to comply with applicable standards.
Any other duty that may be allocated to you by the FM
Requirements
Bachelor’s Degree in Accounting/Finance or CPA(K)
Five years of working experience
Experience with month-end and quarter-end close processes.
Proven capability to excel in a fast-paced environment
High level of critical thinking
Strong quantitative skills
Ability to think strategically while managing the details
