Job Summary
The role will support the University Secretary in ensuring that the University complies with the relevant governance requirements, regulations and best practices. The incumbent will work closely with the University Secretary to support the coordination, facilitation and recording of the activities of the Board of Trustees, the University Council and its Committees, the University Senate and its Committees and the Management Board.
Key Responsibilities
Recording minutes and resolutions, ensuring they are confirmed, executed and filed properly;
Preparing agendas and organizing meetings for the governance relevant governance bodies;
Sending out meeting invitations and following up on confirmations;
Recording and following up on action points;
Supporting in consolidating and distributing reports;
Assist in ensuring compliance with governance requirements;
Researching various governance issues as required;
Maintaining accurate and up to date governance records including various registers
Preparing and updating governance policies;
Providing general governance support to the governance docket and ensuring efficient operation and delivery of service.
Perform other related functions as may be assigned.
Education and Professional Qualifications
Bachelor of Laws
Certified Secretary (CPS-K)
Experience as company secretary is preferred.
Skills
Excellent organizational abilities with a keen attention to details
Very strong written and verbal communication
Ability to work effectively both independently and as part of a team
Ethics and integrity including the ability to maintain confidentiality
Understanding of information technology applications e.g. Microsoft Word, Excel, PowerPoint and Outlook.
