People & Culture Officer

Position Overview
Reporting to the People and Culture Manager, the People and Culture Officer will play a key role in supporting the organization’s human resources functions and promoting a healthy and positive work environment.
Specific duties broadly include recruitment & staffing logistics, efficient utilization of the human resource information management system, human resource administration tasks such as processing payments, scheduling important dates, events and meetings, attending and drafting minutes on behalf of the department, assisting in culture and employee relations initiatives, facilitation of internal committees, and compliance with relevant labor laws and regulations.
Key Responsibilities
Development of the People & Culture Department

Assists with the development and administration of programs, procedures, and guidelines to help align the workforce with the strategic goals of the company.
Participates in developing department goals, objectives, and systems.
Participates in administrative staff meetings and attends other People & Culture led meetings, trainings and deliberations.
Assists to establish departmental measurements that support the accomplishment of the company’s strategic goals.
Assists with the monitoring of the annual budget for the roles that they manage.

Enterprise Resource Planning (ERP) System

Enters accurate data in the ERP system and updates information in real time.
Provides various inputs for the ERP to facilitate data management.

Performance Management

Assists with the implementation of the performance management system that includes performance development plans (PDPs) and employee development programs.

Training & Development

Assists with the management of an employee training system that addresses company training needs including training needs assessment, new employee orientation, on boarding, reboarding, management development, production cross-training, the measurement of training impact, and training transfer.
Assists managers with the selection and contracting of external training programs and consultants.
Provides necessary education and materials to managers and employees including workshops, annual and standardized reports.
Assists with the development of and monitors the spending of the corporate training budget.
Assists in scheduling training calendars
Supports the manager by scheduling Employee Assistance Programs (EAP) and manages relationships with external EAP providers.
Ensures a culture of learning e.g. Lunch and learns, career social, in -house trainings

Recruitment

Manages end to end recruitment processes using the organization’s standard recruiting and hiring practices and procedures.
Conducts the recruiting planning meetings when needed staff is identified.
Serves on employee selection committees or meetings.

Employee Relations and well being

Assists with resolving any employee concerns and escalates those that should be escalated.
Supports all the global mobility required i.e. Visa, special passes and permit requirements and logistical support for global hires/internships/fellowships. Assist staff members and selected representatives of the organization for trips abroad through letters of recommendation and other logistics.
Recommends employee relations practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale and motivation.
Assists with employee communication and feedback through such avenues as company meetings, suggestion programs, employee satisfaction surveys, newsletters, employee focus groups, one-on-one meetings, and Intranet use.
Supports People & Culture initiatives aimed at enhancing a positive employee experience.
Assists with the implementation of company safety and health programs.

Compensation

Provides payroll processing backup support by ensuring that all documents e.g. locum sheets, time sheets, sacco information are accurate and available within set timelines.
Develops and schedules benefits orientations and other benefits training.

Law

Complies with all existing employment law and government requirements thereby minimizing risk of exposure to lawsuits.
Protects the interests of employees and the company in accordance with Human Resources policies and governmental laws and regulations.

Qualifications and Experience

Minimum of 4 years of experience working as a Human Resources Generalist, with in-depth talent management, employee relations, HR strategy and training and career development experience in diverse and international markets.
Bachelor’s Degree in/with a specialization in Human Resource Management
Experience in performing an Officer role is highly preferred.
Experience using a Human Resource Information Management System and analyzing data is preferred.
Professional certification in Human Resources Management (Members of IHRM) is preferred.
Demonstrated knowledge of human resource management techniques that meet the needs of a globally dispersed workforce.
Ability to achieve set targets.

Energy, motivation, and stamina – The role can be demanding and, at times, subject to external pressures for timely completion. The candidate must be adaptive, creative, organized, and highly motivated.
