Finance Coordinator – Nairobi

We are seeking for an exceptional skilled and experienced Finance Coordinator to join our dedicated team to deliver comprehensive finance services to the programmes. You will be reporting directly to the Programme Manager and matrix reporting to the Director of Operations.  You will also support management to ensure that all grants are implemented in line with LAW’s policies and procedures and donor regulations.

Where? The position will be based at our Nairobi Office in Kenya. 
Duration: Full time position for 12 months, possible extension subject to funding and satisfactory performance.
Salary: Competitive market rates of pay apply. 
More detail:  The Finance Coordinator will be responsible for internal and external financial reporting and capacity building for our local partners, assisting them in budget preparation related to grants, funds, and ensuring adherence to LAW’s policies and donor requirements. The Finance Coordinator will ensure LAW is consistently producing high quality financial reports, monthly banking reconciliation and audits are conducted in a timely manner.
The postholder will perform duties in accordance with the responsibilities outlined below:

Accounting

Process all transactions in LAW’s financial accounting software, in a timely and accurate manner.
Prepare and upload banking payments for approval.
Prepare monthly cash calls and quarterly forecasts for disbursements and spending;
Allocate admin costs to each grant on a quarterly basis
Implement and monitor financial controls including bank and petty cash reconciliations to be approved by the Programme Manager ;
Work in collaboration with the Finance staff in Geneva, to ensure that transactions are accurately allocated.
In collaboration with the staff based in Geneva, provide monthly intercompany account reconciliations.
Collate all invoices related to the specific grants managed and ensure these are processed and paid in a timely manner;
Lead on local grant audits in Kenya
Support the Geneva Finance team to prepare the yearly statutory audit;
Review monthly payroll and ensure timely payment of salaries
Provide the monthly exchange rates to be registered in LAW’s financial accounting software

Budget and Grant Management

Prepare in collaboration with the Programme Manager, the yearly fixed costs budget;
Ensure compliance with LAW policies and accounting principles, and donors’ regulations in relation to finance and procurement;
Communicate accurate and up to date financial related matters to all relevant colleagues as required from time to time: Deliver monthly budget follow up and spending plans for all grants with the Programme Managers;
Prepare all potential amendments to grants budgets as and when required;
 Support the Programme Manager with preparing the budget for any new grant proposal;
Ensure optimal allocation of expenses in line with approved budgets and projected expenditures (master budget, consolidated allocation tables, etc.);
Maintain financial archives in accordance with LAW’s internal policy and donor requirements;
Draft and prepare funding requests and financial reports for donors;
Support with preparing and managing internal and external audits as per donor policies;
Coordinate and be focal point with partners and implementing partners for LAW and be able to provide training as and when required to field partners;
Review all financial reports from partners and ensure archiving of all supporting documents;
Prepare advance payments to partners;

 About You

The legal right to work in Kenya;
Bachelor degree in finance, or business management;
Minimum 4 years’ demonstrated experience or more in a similar position working for an INGO;
Excellent written and oral communication skills in English;
Advanced knowledge and demonstrated experience in Excel;
Demonstrated experience of working on US and EU grants with sub-grantees;
Knowledge or experience of working on a NORAD grant will be preferred;
Knowledge of ERP accounting system preferably Microsoft Dynamics Navision;
Flexibility and ability to under pressure and meet conflicting tight deadlines;
Ability to communicate to a wide range of stakeholders including technical financial matters to individuals not versed in financial management;
Creative and analytical thinker with strong problem-solving skills
Excellent organizational skills, including ability to effectively coordinate multiple projects in a fast-paced environment and to effectively problem solve and troubleshooting.
