Procurement and Administration Intern

Christian Health Association of Kenya-CHAK is looking for a Procurement and Administration Intern to be based in Nairobi Office. The Intern will be responsible for overall effective and efficient support to programs’ needs implementation of field level procurement, logistics and equipment/asset/inventory management strategies, procedures, and tools, through coordination and cooperation with all project staff, implementing partners and beneficiaries.

Key Responsibilities and Duties

Review purchasing requests ensuring the adequacy of details and specifications and obtain additional information/documentation as required.
Coordinate general office administration, asset management and maintenance, security, insurance, and record management services.
Provide guidance to programs and departments on procurement related matters and assist in developing suitable solutions, as necessary.
Participate in the development, implementation and interpretation of procurement and logistics policies and procedures.
Manage the presentation and filing of procurement documentation to facilitate report submission, fact-based analysis and tracking of procurements.
Ensure that supplier payments have the right documentation before submitting them to Finance for settlement.
Assist in weekly reporting for procurement and Administration department.
Maintain the fleet log and develop a Rota to ensure efficiency and cost-effective use of the fleet including service/maintenance and monitor fuel usage.
Manage communication with vendors and staff to facilitate implementation of procurement procedures.

Qualifications

Academic & Professional Qualifications:
Bachelors’ degree or Diploma in a business-related field.
Member of the Kenya Institute of Supplies Management or other relevant professional body.
