Evaluate approved purchase requisitions to ensure all specifications, quantities, budget allocations, and timelines are complete and accurate, then delegate subsequent tasks to the Procurement Assistant accordingly.

Develop and execute a sourcing strategy for RFQs by identifying and selecting suppliers, finalizing the invitation list, and establishing clear timelines, while ensuring all quotations are thoroughly compared for completeness and accuracy prior to approval.

Responsible for conducting thorough evaluations and making final determinations in supplier selection, considering crucial factors such as pricing, quality standards, lead times, and compliance documentation, prior to approving and authorizing recommendations for LPO issuance.

Review and authorize Los in accordance with the established approval matrix, guaranteeing their timely issuance and distribution to suppliers and internal stakeholders.

Manage all pending Los by monitoring their delivery status, promptly escalating any delays or backorders, collaborating with suppliers to implement corrective measures, and ensuring internal stakeholders remain informed throughout the process.

Verify that receiving confirmations are accurately documented in collaboration with Stores/Users, including delivery notes, Goods Received Notes (GRNs), and service completion confirmations.

Oversee the resolution of procurement-related issues—such as incorrect items, insufficient deliveries, damaged goods, and delays—by coordinating replacements, processing credit notes, and holding suppliers accountable.

Ensure procurement documentation strictly adheres to established compliance and filing protocols throughout all stages, including requisitions, RFQs, quotes, comparisons, approvals, Los, GRNs/delivery notes, invoices, contracts, and warranties.

Collaborate with the Finance/Accounts team to verify that supplier invoices align with Los and delivery documentation through 3-way matching controls, thereby facilitating the prompt processing of payments.

Prepare weekly progress reports for management, detailing open requisitions, outstanding Los, pending deliveries, escalations, and critical supplier issues.

Develop, oversee, and administer departmental budgets and procurement strategies to ensure fiscal efficiency and alignment with organizational objectives.

Oversee the identification and assessment of potential suppliers to ensure they meet established organizational criteria.

Secure advantageous terms by negotiating high-value contracts and framework agreements.

Ensure adherence to all applicable statutory and regulatory procurement mandates.

To centralize procurement requirements across various departments and capitalize on economies of scale, the role will aggregate and analyze purchasing needs to optimize cost efficiency and supplier negotiations.

Analyze market dynamics to pinpoint emerging trends, track pricing variations, and explore potential alternative suppliers or procurement channels.

Streamline and implement uniform procurement procedures while incorporating industry-leading methodologies to enhance operational productivity and effectiveness.

Responsibilities include evaluating and endorsing supplier prequalification procedures to guarantee that only approved suppliers are utilized.

Track and evaluate procurement key performance indicators to measure departmental effectiveness.

Prepare comprehensive reports for management detailing procurement activities, savings achieved, and supplier performance metrics on a consistent basis.

Minimum Qualifications:

A bachelor’s degree in computer science, engineering, or a related field is required. Candidates must possess at least three years of professional experience in software development or a closely related technical role. Proficiency in programming languages such as Python, Java, or C++ is essential. Strong problem-solving abilities and analytical skills are necessary to address complex technical challenges. Excellent communication skills for collaborating with cross-functional teams are also required.

A Bachelor’s Degree in Procurement, Supply Chain Management, or a closely related discipline is required.

You must hold full registration with the Kenya Institute of Supplies Management (KISS).

Professional certifications, such as those from the Chartered Institute of Procurement & Supply (CAPS), will be considered a valuable asset.

Seeking candidates with a minimum of three to five years of progressive experience in procurement and supply chain, including at least two years in a supervisory or coordinator capacity.

Seasoned professional with a proven track record in negotiating with suppliers, overseeing contract administration, and executing strategic sourcing initiatives.
