Procurement Assistant, National Individual Consultant

The Procurement Assistant will work under direct supervision of the Procurement Associate and overall direction of the International Operations Manager. The Procurement Assistant will provide support in procurement and contracting processes at the Kenya Country Office.
The Procurement Assistant delivers quality services in procurement to internal and external clients; mastering all relevant rules, guidelines, processes, and procedures. He/She takes a client-oriented, results-focused approach to interpreting the rules, procedures, and guidelines in service of the country program; providing support and guidance to the Country Office and UNFPA-supported programs.
The Procurement Assistant ensures proper and effective use of UNFPA’s and external partners’ resources. The Procurement Assistant works in close collaboration with the Operations teams in the country office, government counterparts and other resident and non-resident agencies to exchange information and ensure consistent and timely service delivery.

Duties And Responsibilities

Prepare and updates the Procurement Planning Tool.
Review procurement requests and initiate procurement procedures in a transparent and cost-effective manner.
Provide regular updates on procurement timelines and ensures regular communication within UNFPA and external partners on the expected delivery dates and confirms arrival and inspection of procured goods
Maintains and updates the vendor roster.
Maintains up-to-date and complete records, documentation, and filing of all procurement processes.
Develops sound working relationships with suppliers and third-party procurement customers.
Establishes and maintains working relationships with procurement/technical colleagues in other UN agencies.
Alternate Procurement Focal Point for the Kenya Country Office.
Any other related duties as may be assigned by the supervisor.

Qualifications And Experience

Completion of secondary school/High school diploma or equivalent is required. Training in Business Administration, procurement and logistics, or related area is required.
First level university degree in Business Administration, procurement and logistics or any other related fields is an added advantage.
At least 5 years of experience in administration, procurement, and logistics is a requirement.
Experience with UN procurement is an added advantage.
Excellent working knowledge in computer applications (applications related to database and data analysis) is a requirement.
Fluency in English is required
