Job Description
CrossBoundary is recruiting a full-time People Operations Specialist to join our People Team. As a People Operations Specialist, you will manage the day-to-day admin of immigration and compliance for our growing firm. Candidates should have 3+ years of experience in immigration and compliance at a top-tier multinational corporation. Expertise in immigration and contract management will be regarded favorably. We are looking for candidates who are obsessed with details, organized, and are passionate about their day-to-day work.

Bachelor’s degree in human resources, Business Administration, or related field

Comfort with ambiguity; ability to operate effectively in a fast-paced and changing environment

Primary Responsibilities
Compliance
Contract Management
Manage and track employment contract templates across different jurisdictions to ensure they are updated regularly and are compliant with required local laws
Work closely with the rest of the People Team, General Counsel (GC), Chief Financial Officer (CFO), and Chief People Officer (CPO) to complete entity registration and successfully open new country offices
Complete annual review of firm-wide CVs and job descriptions as required for proposals and other business development initiatives
Immigration
Partner with the Chief People Officer, People Operations Manager, Global Head of Administration, General Counsel, and Heads of Office to develop a strategy for the firm’s approach to foreign work authorization in our major markets
Work with the Chief People Officer and People Operations Manager to establish a new process by which foreign work authorizations are flagged, requested, and completed
Liaise directly with local members of the Administration Team to complete and submit all team member foreign work authorization applications and supporting documentation, for new hires and team members requiring renewal
Lead weekly calls with the Chief People Officer, People Operations Manager, Global Head of Administration, and General Counsel to ensure continued progress on all pending applications
Implement and track all immigration compliance across the firm (work permits, employer of record management, etc.) in partnership with the People Operations Manager
Ensure all immigration data is up to date in our HRIS and People Team Immigration Tracker
Analyst Training Program
Setup new analysts on the required training courses, including account setup and supporting as questions arise
Keep track of progress and share reports that feed into the bi-annual performance review process
Policies
Run annual firm-wide people policy reviews and manage team communication and ensure all policies are accessible to employees
Review country-specific policies & procedures addendum annually to ensure compliance with respective local laws across countries of operation
Proactively track HR laws and regulations to support compliance with respective jurisdictions
Benefits & Leave Management Support
Manage the overall benefits tracker across the firm
Work with the Employee Experience Specialist to ensure that all benefits are updated on the HRIS (BambooHR)
Setup and manage wellness initiatives across the jurisdictions we work in and ensure that these align with our current benefits offering
Track and share leave data to team leads periodically
Liaise with benefit providers, as needed, to guarantee team awareness of benefits and related support is satisfactory
Support timely renewal of annual benefits in coordination with the People and Finance Teams
Auditing
Support, coordinate, and complete all government, internal, and HR audits
Setup repository for bid related documentation to ease efficiency of bid support
Perform quarterly audits to ensure all employee-related data is 100% accurate
Employee Surveys
Oversee the pulse check survey across the firm, including sharing with the team and reviewing results for team and leadership insights
Design and implement various team member surveys
Lead/support data analysis and reporting for respective team member surveys
Human Resource Information System (HRIS)
Work closely with the broader People Team to maintain proper records of team member data and files
Conduct periodic system review and implement improvements as needed
Other
Ad hoc projects, as assigned by the Chief People Officer
