Creative Administrator

Job Summary

The Creative Administrator will provide secretarial support to the project team including the Principal Investigator, Lead Content Creator and Monitoring, Evaluation Research and Learning expert. The position holder will be responsible for supporting project work flows, distribution of information internally and externally and will be the focal contact for youth who are the project’s main beneficiaries. The position holder should be able to communicate effectively with young people including those with hearing and other impairments. The position further requires analytical, report writing and interpretation skills.

Key Responsibilities

Creative Planning and Coordination

Developing project plans, timelines, deliverables, and resource allocation.
Collaborate with the project team to ensure all tasks and activities are clearly defined and assigned.
Proactively identify potential lapses in the project and propose solutions to keep the project on track.
Coordinate and schedule project meetings, workshops, and other relevant activities.
Maintain project documentation, including meeting minutes, action items, and project files.

Communication and Stakeholder Management

Liaise with youth ensuring gender inclusivity and inclusion of youth with disability.
Facilitate collaboration and information sharing among project team members and stakeholders.
Provide regular project updates and reports to the Principal Investigator and other relevant parties.

Resource Management

Coordinate procurement processes for project-related supplies and services.
Monitor project expenses and maintain accurate financial records.
Support the project team in tracking and managing project budgets.

Quality Assurance:

Support the project team in ensuring the quality of project deliverables.
Assist in implementing quality control measures and monitoring adherence to project standards.
Contribute to the evaluation and improvement of project processes and methodologies.

Report Writing

Assist the project team to draft quarterly narrative and financial reports.

Educational Qualifications and Professional Experience

Bachelor’s degree from a recognized institution;
Proficiency in computer applications
Relevant administrative work experience
Demonstrated experience, working with teams in a project setup.

Competencies & Skills

Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner.
Must possess strong interpersonal skills.
Must be able to communicate clearly, both written and verbally.
Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information.
Must be able to prioritize and plan work activities as to use time efficiently.
Must be organized, accurate, thorough, and able to monitor work for quality.
Must be dependable, and able to follow instructions.
Must be able to improve performance through management feedback.
Certification in Statistical Data Analysis or Monitoring, Evaluation, Research and Learning.
Certification in the use of the Kenya Sign Language and will be an added advantage.
