Reporting to the Executive Assistant to the Managing Director, the Executive & Office Support Specialist will be responsible for:

Responding to enquiries, correspondence both telephone & written communication;
Booking/scheduling all meetings in liaison with concerned parties;
Organizing & coordinating all logistics for the HODs and MPA (both internal & external) activities;
Raising and reviewing all departmental OpEx and Internal Requisitions;
Monitoring expenditure against set budgets and monthly reporting;
Reconciling all purchase documentation;
Managing petty cash, stationary requisition process, filing, and other routine tasks 
Following up on tasks and activities with internal and external stakeholders;
Coordinating activities and working with stakeholders across M-Pesa Africa Operating countries on initiatives such as the quarterly Townhall, Customer fora, team activities etc. by providing administrative support
Liaising with the applicable teams to ensure Air ticket / accommodation requests are done and confirmed;
Assisting in the on-boarding of new employees;
Providing line management to the Exco drivers.

QUALIFICATIONS
 
Apply if you have:

A degree in Secretarial/business Administration or a relevant field  
3 years’ experience in customer service, office administration.
At least 1 year of experience as a department administrator
Responsibility – manage Senior leaders’ appointments; calendars; manage petty cash, purchase order requisitions; travel and meeting arrangements; preparation of reports; filing;
