MAIN RESPONSIBILITIES OF THE JOB
Financial Accounting
Ensure comprehensive financial accounts are maintained for CA Kenya to comply with local regulations & corporate governance
Record all financial transactions by entering them into the accounting system
Review the monthly P&L and balance sheet of the CA Kenya, ensuring that the balance sheet is reconciled monthly
Liaise with HQ to ensure finance month end processes are completed in line with deadlines
Manage the timely preparation & submission of the annual statutory accounts for the CA Kenya and liaise with the external auditors regarding the annual audits
Management Accounting
Manage and review monthly management accounts providing detailed commentary for actual versus budget analysis
Assist management with the preparation and review of required budgets and forecasts, including the annual corporate CA Kenya budget
Preparation of meaningful statistics, KPIs and variance analysis
Posting of required month end journals such as accruals and prepayments
Project Accounting
Manage the project accounting for any locally delivered contracts
Work with project managers to ensure project expenditure incurred in line with budget whilst adhering to all client and internal CA controls
Support in the preparation and submission of client reports as and when required
Treasury
Forecast cash flow positions, related funding needs from HQ, and available funds for HQ cash-pooling
Ensure that sufficient funds are available to meet ongoing operational and project delivery requirements
Maintain and implement a system of polices and procedures that create an adequate level of control over treasury activities
Payroll
Undertake the preparation of the monthly payroll ensuring all necessary payment adjustments and deductions are efficiently and accurately reflected
Ensure compliance with internal CA payroll policies as well as local statutory payroll and tax requirements
Control Function
Ensure that adequate financial and internal audit controls are in place, are aligned with group polices and are monitored on a regular basis
Substantiate financial transactions by reviewing and verifying supporting documentation
Fixed Assets
Manage the fixed asset process, ensuring assets are correctly capitalized, depreciated and disposed in line with internal controls and processes
Taxation
Ensure that local taxation requirements for the CA Kenya are adhered to including meeting Revenue Authority deadlines (corporation tax, sales tax, withholding tax, payroll etc)
Liaise with company secretary to ensure prompt filing of company documents and statutory returns as and when due
This role may be required to ensure taxation and legal compliance for Crown Agents Uganda Ltd
Office Operations
Ensure relevant insurance (WIBA, Personal Accident, medical, asset etc) is in place, manage regular payments and coordinate claims as the need arises
Manage membership to group pension scheme ensuring liaison with the fund and making timely payments of staff contributions
Oversee the management of office operations and ensure the smooth running of the office
Ensure all licenses, business permits are obtained and renewed within the legal requirements
Line Management
Line manage and successfully develop the Admin Assistant/Officer
Requirements
Qualification
Minimum of a degree in Accounting, Finance or equivalent
Full professional qualifications in accounting CPAK, ACCA or similar.
Experience
Minimum 5 years’ professional experience in finance
Proven track record in financial accounts and management reporting
Ability to handle multiple tasks simultaneously, set priorities and work independently
Experience of working in an international organisation.
Knowledge of local tax legislation required.
Experience with Sun Accounting System (desirable not essential)
