Position Overview
Senior Analyst for the Africa Regional Office based in Nairobi, Kenya. This role is core to the Operations of the Africa Regional Office, primarily in finance and operations functions. They will work under the direction of the Director, Operations and work closely with the NY-based finance and operations teams. The position requires deep financial analysis acumen, efficiency in execution, attention to detail, organization, and the ability to anticipate the financial needs of the Africa Regional Office. The candidate must be able to work independently and collaboratively to maintain confidentiality in a matrixed environment with both internal and external stakeholders. This role may supervise other team members.
Principal Duties and Responsibilities
Finance Operations
Timeous payment processing, while ensuring adequate support and authorizations have been obtained, prompt disbursement of remittances to vendors, and initializing and analyzing any account reconciliations
Treasury risk management-maintain a certified database of vendor information including but not limited to verified banking and contact information.
Confirm supplies to the office and services have been rendered before payment processing and posting contracts into ATLAS.
Prompt booking of transactions in the general ledger according to the different cost centers
Vendor account reconciliation as and when necessary or required. Performing reconciliations of transactions involving suppliers and other service providers monthly
Assist with maintaining the RF financial accounting systems for the Africa Regional Office (ARO)
Processing of Tax exemption through the IPMIS portal of the Ministry of Foreign Affairs (MoFA) as provided in the Host Country Agreement in relation to value-added tax (VAT), excise, and customs duty.
Reviewing the petty cash report validating claim contents, and preparing the reimbursement payment
Reconciling petty cash on hand with the general ledger for monthly cash count certificates and Annual and annual accounts
Assisting in the preparation for the annual audit reports by attending to audit schedules for both internal and external auditors
Preparing the ARO staff monthly payroll by ensuring that all inputs and changes are duly supported by appropriate documentation either internally or through a 3rd party
Monitoring Staff benefits ceilings regularly to ensure that the set limits are adhered to.
Preparing statutory and regulatory deductions and making returns to Kenya Revenue Authority and other agencies as required on a timely basis
Financial Reporting
Under the guidance of the Director, Operations, preparing to review and analyzing monthly reports and submitting these for verification and onward transmission to the Finance Office in New York
Ensure financial reports are submitted in alignment with the Foundation’s monthly and year-end schedules
Assisting in responding to questions arising from the submitted financial reports.
Preparing bank reconciliations and maintaining a complete file on the monthly financial reports in the ARO.
Treasury management-keeping track of cash requirements and preparing the monthly cashflow projections
Ensure full support is provided to the auditors by the timely provision of requested information and documents, responding to queries, observations, and recommendations
Assisting the Director, Operations to reconcile the staff pension statements
Tracking Key Performance Indicators, monthly and annual close processes
Ensuring compliance with financial policies and guidelines and relevant legal regulations.
Budgeting
Work with the Director Operations on the development of annual operations budgets and forecasts when they fall due
Monthly analyses of the budget report tracking utilization against budget on all categories and variance analyses
Administration
Updating the fixed assets register. Accurately tracking disposal and acquisition of new assets. Forwarding supporting documentation of all fixed asset purchases to NY.
Assisting in the maintenance of a supplier’s inventory database, and insurance records, and ensuring the filing of payments is up to date.
As part of the Foundation’s global finance function, performs other duties and responsibilities that may be assigned from time to time.
Education, Experience, and Skills
University degree in an area related to Finance, Accounting, Business Administration, or its equivalent, Masters preferred.
Professional accounting certification, Certified Public Accountants of Kenya (CPA) or ACCA required
Minimum 5 years related working experience with at least 2 years experience in a development organization
Knowledge of financial/accounting and reporting systems such as Microsoft Dynamics Great Plains
Computer proficiency especially in Microsoft Office applications and ability to learn new applications quickly
